1. Who we are and what this policy covers
Leadgen AI provides a B2B platform for lead generation, customer relationship management, email outreach, AI voice calling, and related sales workflows. This policy describes information handled through leadgenagent.io and the Leadgen AI service.
For account management, billing, security, and our direct communications, Leadgen AI determines how the relevant information is used. When a business uses our platform to manage its own prospects, forms, messages, or calls, that business determines the purpose of that outreach and is responsible for its own privacy notices and permissions. Contact that business about its use of your information, or contact us if you need help identifying the relevant workspace.
2. Information we handle
Account and company information: your name, email address, phone number, company profile, account identifiers, team roles, sign-in details, and settings you provide. If you choose Google sign-in, we receive the identity information used to authenticate your account.
Prospect and communication information: business contact details, lead sources, form submissions, CRM notes, email messages, connected-channel messages, campaign activity, and meeting information. Voice features may process call metadata, recordings, transcripts, and summaries when those are available through the configured provider.
Billing and support information: subscription and invoice details, payment status, transaction references, usage credits, and information you send when asking for support. Payment card information is handled through the configured payment provider; the platform uses payment tokens and references to manage transactions.
Technical and activity information: IP addresses and request logs, browser and device information available to the service, sign-in activity, errors, feature usage, and security or administrative audit events.
3. Where information comes from
Information comes from you, your workspace administrators and team members, people submitting lead forms, connected email and messaging accounts, voice and payment providers, and the use of our website and service. Prospecting features may also obtain business contact information from public business listings and configured data sources.
Businesses use these prospecting features to find and contact potential customers. If your business contact information appears in the service and you have a question or removal request, contact us at contact@leadgenagent.io with enough detail to identify the relevant information.
4. How information is used
We use information to create and administer accounts and workspaces; provide lead, email, messaging, calendar, and voice features; process payments and manage subscriptions; show usage and campaign results; send account, service, and selected event notifications; answer support requests; and diagnose errors and protect the service from misuse.
Workspace users configure campaigns and integrations and decide which contacts and communication content to use. AI features can help draft messages, summarize conversations, and assess lead interest. AI results may be inaccurate and should be reviewed before being relied on.
Where applicable law requires a legal basis, processing may be necessary to deliver contracted services, meet legal obligations, support legitimate interests such as service security and administration, or follow consent where required. The relevant basis depends on the information and the activity.
5. AI features and connected services
When AI features are used, relevant company context, prospect details, prompts, email or message content, and call transcripts or summaries may be sent to the configured AI provider. Supported integrations include OpenAI, Anthropic, Google Gemini, and compatible providers; the provider in use depends on the service configuration.
Voice features use the configured voice provider, including Vapi when enabled. Connected email, calendar, and messaging features exchange the information needed to operate those integrations. Provider terms, privacy practices, and retention settings also apply to information they receive. Do not include sensitive information in prompts or outreach unless you are authorized to do so and the selected service is appropriate for that information.
7. Cookies, browser storage, and third-party resources
The application uses browser storage for session information and preferences such as your chosen theme. Clearing this storage can sign you out or reset preferences. Your browser provides controls for cookies and local storage, although blocking necessary storage may prevent parts of the service from working.
Sign-in, payment, and other connected services may use their own cookies or similar technologies under their policies. Our website also loads web fonts from Google Fonts, which involves a request from your browser to that provider. Information such as your IP address and browser details can accompany requests to third-party resources.
8. Retention and security
Retention depends on the type of information, the account and feature involved, customer instructions, and legal, accounting, security, or dispute-resolution needs. Account and workspace records may be retained while needed to provide the service; invoice and payment records may need to be retained for legal or accounting purposes. Copies in backups may remain after information is removed from the live service. Contact us about the retention or deletion of a particular record.
The service uses safeguards such as authenticated access, workspace permissions, and encrypted HTTPS connections. No system or method of transmission is completely secure. Keep your credentials private, review team access, and report suspected unauthorized access to contact@leadgenagent.io.
9. International processing
Leadgen AI and its connected service providers may process information in countries other than where you live. Those countries may have different data protection laws. Where applicable law requires a transfer mechanism or other safeguards, those requirements must be addressed for the relevant processing. Contact us for information about the locations and arrangements relevant to your account.
10. Your choices and privacy requests
You can update available profile settings, manage connected services, and adjust notification preferences in your account. Workspace administrators control access for their teams. For outreach from a business using Leadgen AI, use the opt-out instructions provided in the message or contact the sender directly.
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of your personal information; object to or restrict certain uses; or withdraw consent where processing relies on consent. These rights may be subject to legal exceptions. You may also have the right to raise a concern with your local data protection authority.
Send privacy requests to contact@leadgenagent.io. Include your relationship to Leadgen AI and enough information to locate the relevant account or record. We may need to verify your identity or authority before acting. Please do not send passwords or full payment card details. Where a workspace business controls the information, we may direct your request to that business.
11. Children’s information
Leadgen AI is designed for business users and is not directed to children. Do not use the service to submit children’s personal information. If you believe such information has been provided to us, contact contact@leadgenagent.io so the issue can be reviewed.
12. Changes and contact
This policy may be updated as the service, integrations, or relevant requirements change. The updated date at the top identifies the current version. Material changes may also be communicated through the service or account contact details where required.
