A familiar kind of busy

A full waiting room.
An even fuller phone line.

Follow an example day at a medical front desk—and the small interruptions that add up.

  1. Chapter 01

The doors open. So does the phone line.

    Sound familiar?

Someone is waiting at the desk. The phone rings, then rings again. Reception is trying to welcome the person in front of them without leaving callers waiting.

    Example reception conversation

    Your AI receptionist

    Here for the next hello

“Good morning. I can help with office information or a request for reception.”

“I’m new to the practice. Could someone explain how to arrange an appointment?”

Your AI receptionist welcomes callers, answers routine office questions and takes a callback request. Your staff can stay with the person at the desk.

A first hello, without another interruption.

    Later that day
  2. Chapter 02

“Where are you?” For the fifth time today.

    Sound familiar?

Directions, office hours and which floor to visit. They’re simple questions—but each one breaks the rhythm of an already busy reception team.

    Example reception conversation

The right information, without the hold.

    Office location

    40 Oak Street

    Second floor

Office hours and directions, from the information you provide.

“Thank you. That’s exactly what I needed.”

Give your receptionist approved office information. Let it handle the familiar questions, and leave anything outside those answers to your staff.

Clear office answers. More attention for the people there.

    Later that day
  3. Chapter 03

An appointment question turns into phone tag.

    Sound familiar?

A new caller wants to understand your appointment process. Reception calls back between check-ins, but the caller is now in a meeting.

    Reception callback confirmed

    Morgan · Thursday, 11:00 AM

Agree a reception callback time when booking is enabled. Your staff still arranges clinical visits through its usual scheduling process.

A time for reception to call, not another missed connection.

    Later that day
  4. Chapter 04

The office closes. The questions don’t.

    Sound familiar?

A caller needs to ask about changing an appointment. Your team has gone home, and the caller needs to know what happens next.

    Example reception conversation

    A request for reception

Ready for the next working day

    Reception reviews the request

Staff review needed · Appointment unchanged

A clear request for the next working day. Staff stays in control.

Clear office answers

Directions, opening hours and the information your practice approves.

Only the details reception needs

A name, a callback number and an administrative request—not medical history.

Your staff stays in control

Clinical questions, appointment changes and exceptions follow your own process.

Your practice, your approach

Make it part of your front desk.
Not another thing to manage.

  1. 01

    Add your office information

Give it your greeting, directions, hours and answers to common reception questions.

  2. 02

    Set the limits

Choose the minimum administrative details to ask for and which requests go to staff.

  3. 03

    Try a reception conversation

Test the questions, callback flow and booking rules before your receptionist goes live.

A few things your practice might ask.

Can it answer medical questions?

No. It helps with reception, not medical advice, diagnosis, treatment or triage. Clinical questions go to your staff through the process your practice approves.

What happens with urgent calls?

Use your practice’s approved emergency instructions. The assistant is not an emergency service: it does not assess urgency, monitor emergencies or guarantee an immediate staff response.

Is a reception callback a confirmed clinical appointment?

No. Booking uses Leadgen AI’s own calendar for the administrative workflow you enable. Your staff still arranges clinical visits in its usual scheduling system. A reception callback is not a confirmed clinical visit.

What information should we ask for?

Use minimum administrative details, such as a name, callback number and the office request. Direct medical history, test results and clinical records to your practice’s approved process. Review privacy and data handling before use.

Can it change appointments or check insurance?

It can capture a request for staff to review. It does not cancel or reschedule appointments, verify insurance or update a clinical record.
